Job Description

Event Administrative Assistant- Temp Position

 

Location: Houston, TX 77042

Compensation & Schedule

• $25/hr
• Monday – Friday | 8:00 AM – 5:00 PM
• Start Date: Immediate upon completion of onboarding

 

Key Responsibilities

  • Provide high-level administrative support to leadership and staff

  • Monitor and respond to emails in shared/general mailboxes

  • Prepare, post, and update board materials using BoardEffect

  • Maintain and update meeting specifications

  • Proofread and edit materials for internal and external distribution

  • Collect, track, and report statistical data related to events or organizational initiatives

  • Assist with event coordination, including scheduling, vendor communication, and attendee logistics

  • Manage calendars, schedule meetings as needed

  • Assist in preparing presentations, agendas, and reports

  • Serve as a liaison between departments and external stakeholders as needed

 

Minimum Qualifications

  • Exceptional organizational and time management skills – with the ability to manage multiple priorities and deadlines

  • Strong proofreading and attention to detail – grammar, punctuation, formatting, and consistency

  • Event planning and coordination experience – ability to manage logistics, vendors, and timelines (a plus)

  • Strong written and verbal communication skills

  • Professional discretion and ability to handle confidential information

  • Comfort working in a fast-paced, team-oriented environment

  • Proactive problem-solver

  • Team player with a collaborative mindset

  • Ability to adapt quickly to shifting priorities

 

Core Tools & Systems

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

  • Proficiency in Adobe Acrobat – including editing, combining files, form creation, and commenting tools

  • PowerPoint skills – strong formatting and presentation design skills desired

Preferred Skills

  • Experience with board management platforms (e.g., BoardEffect, Diligent, or similar) is a plus

  • Event planning and coordination experience – ability to manage logistics, vendors, and timelines (a plus)
