JOB TITLE: Envision Dept. Executive Administrative Assistant

DEPARTMENT: Envision Department

SUPERVISOR: EVP Strategic Church & Senior Director of Envision

LOCATION: Remote - Southern CA Preferred

POSITION TYPE: Permanent

WORK HOURS: 20 hours a week

PURPOSE OF JOB:

The Executive Administrative Assistant provides comprehensive administrative support to the EVP of Strategic Church and the Senior Director of Envision. This includes calendar management, meeting scheduling, expense reporting, communication support, document preparation, travel coordination, and general organizational administration. In addition, the role provides light administrative support for envision event-related logistics.

RESPONSIBILITIES (INCLUDED BUT NOT LIMITED TO):

Executive Administrative Support (Primary Focus)

· Provide high-level administrative support to the EVP of Strategic Church and Sr. Director of Envision.

· Manage calendars, schedule meetings, and coordinate internal and external appointments.

· Prepare and organize documents, presentations, meeting agendas, and follow-ups.

· Support travel planning including booking flights, lodging and itineraries.

· Document and process expense reports.

· Assist with special projects, communications, cross-departmental coordination, and administrative workflows as needed.

Administrative & Operational Coordination

  • Track tasks, deadlines, and priorities using Monday.com or similar project/task management tools.
  • Coordinate internal communication, assist with departmental planning rhythms, and provide administrative support for cross-functional initiatives.
  • Manage communication flow, responding on behalf of executives where appropriate.
  • Maintain database updates and light Salesforce data entry.

Light Event Administration & Logistics (Secondary Focus)

  • Support event preparation primarily through administrative tasks.
  • Provide administrative assistance for Envision events including basic hospitality coordination, vendor research and interaction, venue bookings, and travel confirmations.
  • Assist with event registration setup and data tracking under guidance from the events team.
  • Support smooth event operations through communication, documentation, and preparation of materials (remote support—travel not required).
  • Work within provided budgets.

Data Management & Reporting:

  • Support accurate data entry, record-keeping, and system updates, particularly in Salesforce and event registration platforms.
  • Assist in maintaining data integrity for reporting and tracking engagement or event activity.

Organizational Support:

  • Align with Alpha's mission and values in all internal and external communications.
  • Contribute to team culture and share the Alpha story through demonstrating values outlined in Alpha's Operating Values (see attached)

ESSENTIAL SKILLS, KNOWLEDGE AND EXPERIENCE:

· Highly organized and detail-oriented

· Strong ability to work independently in a remote environment; self-motivated, disciplined, and able to manage time effectively

without direct oversight.

· Proficiency in Microsoft Office 365 (Word, Excel, Teams, PowerPoint)

· Experience with project/task management tools (Monday.com)

· Working knowledge of CRM - Sales Force

· Familiarity with event platforms – will train (Blackthorn, Brushfire, etc.)

· Ability to manage and track budgets and expenses (Tallie)

EDUCATION:

· Bachelor's Degree (or in process)

· Alpha experience is preferred
