Job Description

Seeking an experienced, highly discreet Personal Assistant (PA) to provide day-to-day comprehensive support to an individual. This role involves a mix of administrative, household, and personal tasks, requiring an initiative-taking and detail-oriented individual who can manage responsibilities with professionalism and care. This role requires exceptional organizational skills, sound judgment, and the ability to manage personal affairs seamlessly while maintaining clear boundaries from business operations.

Compensation

$55,000 to $65,000 plus stipend for medical benefits

 

Responsibilities

Household Management

Serve as the primary point of contact for personal matters, ensuring smooth day-to-day operations of the household.

Coordinate with vendors, contractors, service providers, and household staff for maintenance, repairs, and services.

Oversee household inventory and supplies, handle shopping and restocking.

Provide care and transportation for pets, including scheduling vet visits, grooming appointments.

Providing services to cover 3-4 vacation homes in various locations, including working with property managers.

 

Personal Management

Assist with personal errands (e.g., dry cleaning, grocery shopping, personal shopping, gift purchasing).

Arrange and supervise personal appointments (medical, wellness, etc.).

Handle travel arrangements including booking private and commercial flights, accommodations, ground transportation, and itineraries with precision.

 

Administrative Tasks

Manage calendars, schedule meetings, and coordinate logistics for appointments/meetings.

Organize and maintain files and records and manage expenses.

Handle correspondence, emails, and phone calls, while maintaining strict confidentiality at all times.

Work collaboratively with the business Executive Assistant to avoid overlap and maintain separation of personal and business affairs.

Assist with a variety of creative tasks.

Organize and support private events, family gatherings, and social engagements.

Coordinate with external vendors and venues to ensure flawless execution.

Maintain strict confidentiality regarding personal and family matters.

Exercise sound judgment and professionalism in all interactions.

 

Requirements

Prior experience as a Personal Assistant, Executive Assistant, or similar role.

Flexibility to work evenings or weekends as needed.

Strong organizational and multi-tasking skills.

Excellent communication and a service-oriented mindset.

Comfortable with pets and experienced in basic pet care

Valid driver’s license and reliable transportation.

Experience with travel planning and expense reporting.

Proven experience anticipating needs and acting proactively.

Calm under pressure and adaptable to changing priorities

Proficiency in Microsoft Office Suite.
